This policy explains what personal information CONCRAFT collects, why we collect it, how we use it and the choices you have. We aim to keep it plain and straightforward.

1. Who we are

CONCRAFT (“we”, “us”, “our”) is a main contractor providing design and planning, loft and extension, renovation and refurbishment, landscaping and general building services. Our office is at Office 2, Middle Floor, 10 Guithavon Street, Witham, CM8 1BN.

For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018) we are the “controller” of the personal information described in this policy. You can contact us about it at info@concraft.co.uk or on 07729 001401.

2. What information we collect

  • Enquiry details. When you contact us by phone, email, WhatsApp or the enquiry form on this website: your name, phone number, email address, the service you are interested in, and anything you tell us about your project, such as the property, scope of work and timescales. If you attach photos to the enquiry form, we receive those too.
  • Project and customer information. If you become a client: your site address, project details, plans, photographs and drawings, correspondence, quotations, contracts, and invoice and payment records.
  • Technical information. When you visit our website, your browser automatically sends standard information such as your IP address, browser type, device and the pages you request. This goes to the servers that deliver the site and to third parties whose content is embedded in it (see section 6).

We do not ask for, and you should not send us, sensitive information such as health or financial account details through the website.

3. How we use your information

We only use your personal information where the law allows us to. The main reasons, and the legal basis we rely on for each, are:

  • To respond to your enquiry, arrange a site assessment and prepare a quotation — because you have asked us to take steps before entering into a contract, and because it is in our legitimate interests to answer people who contact us.
  • To carry out your project and manage our relationship with you — to perform our contract with you.
  • To keep accounts and records, and to meet tax, building, health and safety and other legal requirements — to comply with our legal obligations.
  • To run and secure our business and website, handle complaints and protect or defend our legal position — our legitimate interests.
  • To send you marketing, if we ever do — only with your consent, which you can withdraw at any time. We do not send marketing to people who have simply made an enquiry.

We do not sell your personal information, and we do not use it for automated decision-making or profiling.

4. Who we share it with

We share personal information only where it is needed, and only with:

  • subcontractors, tradespeople and suppliers who need your contact and site details to carry out or supply your project;
  • professional advisers involved in your project or our business, such as architects, structural engineers, planning consultants, building control, insurers, accountants and solicitors;
  • service providers who help us run our business, such as website hosting, email, messaging and IT providers, who may only use your information on our instructions; and
  • public authorities, regulators or the courts where we are legally required to.

5. How long we keep it

We keep personal information only for as long as we need it for the purposes above. As a general guide:

  • enquiries that do not lead to a project: for a reasonable period afterwards, normally no longer than 12 months; and
  • client and project records: for the length of the project and then normally six years after completion, to meet legal, tax and accounting requirements and to deal with any claims. Some records may need to be kept for longer where the law requires it.

6. Third-party services on our website

Some content on this website is provided by other companies, which may receive information such as your IP address when your browser loads it. They act under their own privacy policies:

  • Google Fonts — the fonts used on this site are loaded from Google’s servers.
  • Google Maps — the map in the “Find us” section is embedded from Google, which may set cookies and collect usage information when the map loads.
  • WhatsApp — if you choose to message us on WhatsApp, you will be taken to WhatsApp (operated by Meta) and your messages are handled under its terms and privacy policy.
  • Social media — links to our social media profiles take you to those platforms, which are responsible for their own use of your information.

We are not responsible for the privacy practices of other websites, so we encourage you to read their policies.

7. Cookies and similar technologies

This website stores one small item in your browser (“local storage”) to remember the accent colour if you use the colour switch in the header. It stays on your device, is not used to identify you and is not sent to us.

We do not currently use advertising or analytics cookies. Embedded content from Google (see section 6) may set its own cookies. You can control or delete cookies at any time in your browser settings. If we introduce analytics or advertising cookies in future, we will update this policy and ask for your consent where the law requires it.

8. Transfers outside the UK

Some of the providers mentioned above, such as Google and Meta, may process information outside the UK. Where this happens, we rely on the safeguards required by UK data protection law, such as a UK adequacy decision or approved standard contractual clauses.

9. Keeping your information safe

We take reasonable technical and organisational steps to protect personal information from loss, misuse and unauthorised access. No method of transmission over the internet or of electronic storage is completely secure, so we cannot guarantee absolute security.

10. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to erase your information in certain circumstances;
  • ask us to restrict how we use your information, or object to us using it where we rely on legitimate interests;
  • ask for information you gave us to be provided to you in a portable format, where it applies; and
  • withdraw your consent at any time where we rely on it.

To use any of these rights, contact us using the details above. We will normally reply within one month. There is usually no charge.

If you are unhappy with how we have handled your information, please talk to us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

11. Children

Our website and services are not aimed at children, and we do not knowingly collect personal information from them.

12. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed, and we recommend checking it occasionally.
